Setting up Harlyn

From zero to a briefed delegate in about five minutes. Last updated August 5, 2026.

1. Create your account

Sign in at harlyn.ai/dashboard with email or Google. Your account is your Harlyn identity: meetings it attends for you, recaps, and connected tools all hang off it.

2. Connect your calendar

Integrations → Connect Google Calendar (or Outlook). Harlyn reads upcoming events — read-only — and auto-joins meetings with a video link. When Google asks for permissions, make sure the calendar checkbox is ticked. Every upcoming meeting gets a per-event toggle, so you can keep Harlyn out of anything. By default it joins as a quiet attendee; give it a briefing or questions and it acts as your delegate.

3. Or add Harlyn to one meeting

Dashboard → New meeting: paste the Zoom, Meet, or Teams link and Harlyn joins as a visible participant. No calendar needed.

4. Connect HubSpot

Integrations → Connect HubSpot → approve the permissions in HubSpot. What Harlyn does with each permission, in plain language:

Read contacts, companies, and deals — answer questions in the meeting ("what stage is the Acme renewal?") and build pre-meeting briefings from your CRM.
Write contacts, companies, and deals — apply updates you approve out loud ("move it to Contract Sent" → read back → your "yes" executes) or from the dashboard afterward. Nothing writes without your approval.
Lists — create a list when you ask for one from records Harlyn just pulled.
Owners (read) — resolve names so "Dana's deals" means the right Dana.

To disconnect: Integrations → HubSpot → Disconnect. The token is deleted immediately. You can also uninstall from HubSpot (Settings → Integrations → Connected apps), which revokes Harlyn's access on HubSpot's side.

5. Recaps and the rest

Slack — recaps and live "Harlyn needs you" questions as DMs; reply in-thread and Harlyn speaks your answer into the meeting. Email — recaps to your inbox (on by default). Task tools — Linear, Asana, Jira, Monday, Notion, ClickUp, or Trello via a pasted token; approved action items become real tasks.
